Terms and Conditions for Event Booking
Your information
- Details of attendee/s to any Merton Chamber events are processed by Merton Chamber in accordance with our Privacy Policy.
- That information will be used to administer your attendance at the event, process any payments due and to send you details of similar events and information offered by Merton Chamber. If you are booking for someone else, you are agreeing to these conditions on their behalf.
- You have the rights to have your information corrected or restricted in use and to object to our use of your data. However please note if you object to use of your data for your attendance at the event we may not be able to accommodate you at the event.
- By agreeing to our events terms and conditions, you provide consent for your name and business name and sector to be included in the event delegate list. If you do not wish to be included in the delegate list you need to inform us via email events@mertonchamber.co.uk in good time before the event.
- Other than as described in this section or provided for in our Privacy Policy, we do not share your data with any third parties and your information is stored in the United Kingdom.
- If you attend an external third-party event promoted by Merton Chamber, your basic details will be shared with the third party.
- Events may be photographed and/or filmed to be used in post-event publicity. Should you not want to be included, please make the photographer aware on the day of the event.
Non-Member Attendance to Events
- Non-members can attend any of the events, with exception to those that are member only events or by invitation only.
Payments
- Payments for event bookings must be received in full prior to the event date. Failure to provide payment before the event may result in your booking being cancelled. Please ensure that payment is made promptly, to secure your attendance.
- Payments can be made by credit card/debit card via Stripe or by requesting an invoice to be settled via bank transfer.
- Online bookings will be processed electronically, and the transaction will be between you and Merton Chamber.
- All event fees are subject to VAT being added at the prevailing rate.
- Any pre-booked events that occur AFTER the termination of your membership (for any reason) will be converted to a standard booking and the difference in fee must be paid.
Confirmation
Once payment is received an email confirmation will be sent to the attendee(s) at their email address stated at the time of the booking. This will contain either:
- The venue details, map and any other details relevant to the Event.
- Event details including a link to access the Event if it’s a virtual Event.
Our rights to make changes
- Minor changes to the events. We may change the event as follows:
a. to reflect a change in venue that is no more than 5 miles away from the original event; or
b. to change the speaker or host of the Event; or
c. to make minor changes to the content. - These minor changes will not make a significant impact to the event as advertised and we will notify this to you as soon as possible.
- More significant changes to the event and these terms. If there are any significant changes to that which was advertised, we will notify you of the changes and, if you do not accept these changes, please see our cancellation provisions below.
Event attendance
- Merton Chamber have the right to refuse entry to events to any delegate who has not made payment in full
- It is your responsibility to provide details of any specific dietary requirements for any event that provides refreshments. We will not be held liable for any omission made by you. If you do not provide these, we may not be able to accommodate any specific requests.
- Attendees cannot distribute literature en masse at any event unless a designated literature exchange table is provided (if this is the case it will be detailed on the individual event listings). Attendees seen doing so will have their literature removed.
Virtual Events & Security
- All Merton Chamber virtual events will be held via a recognised video conferencing platform.
- If you cannot join the meeting due to your internet connection, refunds are not available.
- For security purposes you are not permitted to share the meeting link with anyone else. If a substitute person wishes to replace an existing attendee, please inform us and they will be sent their own confirmation email with the meeting link.
- We have taken all reasonable precautions to ensure that events/meetings held via a recognised video conferencing platform are safe and secure. We do not accept responsibility for any breaches that may occur.
- Attendees are not permitted to distribute literature in virtual events using the chat function unless this is previously agreed with the event organiser.
Our liability
As an attendee of an event, you will meet members of Merton Chamber or other attendees who offer advice, products or services which may be of use to you in your business.
- If you purchase a service or product or takes advice or assistance from another member or attendee, the arrangement is made purely between you. In no circumstances will we be a party to any contract or have any liability for advice, services or products provided by one member or attendee to another.
- Merton Chamber does not warrant the quality or suitability of, or accept any liability, for the service or product sold or the advice or assistance provided by any member or attendee whatsoever. Attendees should conduct their own due diligence, seeking independent professional advice in accordance with the nature of their situation.
Cancellation by you
- All cancellations must be made in writing to events@mertonchamber.co.uk not later than 7 days prior to the event taking place unless otherwise stated in the event details.
- Refunds are at our discretion, but where a refund is available, any payment made using a credit or debit card through our electronic payment system, will be refunded back onto the same card.
Cancellation by us
- We reserve the right to cancel any event at any time without liability. In the unlikely event of this happening attendees would be offered an alternative date or a full refund.
Changing attendee details
- There is no charge if a substitute person wishes to replace an existing attendee/s. Please inform us as soon as possible before the start of the event.
- If a dietary or special request has been made this may not be able to be changed
- Changes to an attendee/s within two working day of the event starting may not be accounted for in the list of attendees and name badges.
